Administration & Communications Coordinator

P/T Administration & Communications Coordinator (Maternity Leave)


The Administrative & Communications Coordinator is a temporary part-time position of Christian ministry. This role provides administrative, communications, marketing, fundraising, and event support to help ensure the smooth day-to-day functioning of the Dawn Centre while advancing awareness of its services and impact within the community.

The successful candidate will play a key role in supporting clients, volunteers, donors, and community partners through both administrative excellence and effective communication. Working collaboratively with the Executive Director, staff, and volunteers, the Administrative & Communications Coordinator will help maintain daily operations while supporting the Centre’s communications, fundraising, community engagement, and event initiatives.

 

Responsibilities

 

Client & Reception Support

  • Welcome clients and visitors in a warm, professional, and compassionate manner.

  • Maintain confidentiality and privacy standards in all client interactions.

  • Manage appointment scheduling, confirmations, rescheduling, and cancellations.

  • Input and maintain accurate client records and information.

  • Prepare client paperwork and administrative materials as required.

  • Contact clients regarding appointments and administrative follow-up.

  • Provide administrative support for client services and healthcare-related appointments as required.

Office Administration

  • Monitor and respond to general email inquiries.

  • Manage incoming phone calls and voicemail messages.

  • Welcome and assist volunteers and visitors to the Centre.

  • Maintaining organizational lists.

  • Order office, program, and operational supplies as needed.

  • Assist the Executive Director with administrative tasks, scheduling, and general office operations.

Website & Digital Communications

  • Maintain and update website content as required.

  • Create and update website pages, announcements, event information, and organizational updates.

  • Ensure online information remains accurate and current.

  • Assist with the creation and maintenance of digital content, including blog posts and resource materials.

Social Media, Marketing & Communications

  • Coordinate and maintain the Centre’s social media presence.

  • Create and schedule social media content aligned with the Centre’s mission, values, and branding.

  • Develop content related to programs, services, events, fundraising initiatives, and organizational updates.

  • Assist with the planning, writing, and distribution of newsletters and donor communications.

  • Support marketing campaigns that increase awareness of the Centre’s services, events, and fundraising initiatives.

  • Assist in the creation of promotional materials, graphics, and communication resources as required.

  • Use storytelling to communicate the Centre’s mission, services, and community impact through social media, newsletters, fundraising communications, and other marketing materials.

Events & Fundraising Support

  • Assist with the planning, coordination, and administration of fundraising and community events.

  • Support event logistics, timelines, registrations, and communications.

  • Maintain donor records and communication lists.

  • Assist with donor stewardship and communication initiatives.

  • Support fundraising campaigns, appeals, sponsorship initiatives, and donor engagement activities.

Community Engagement

  • Assist with promoting the Centre’s services, programs, and events within the community.

  • Support relationships with churches, community organizations, volunteers, donors, and community partners.

  • Assist with community outreach and engagement opportunities as assigned.

 

General Responsibilities

  • Handle sensitive client, donor, volunteer, and organizational information with professionalism and discretion.

  • Support the mission, vision, values, and policies of the Dawn Centre.

  • Perform other duties as assigned by the Executive Director.

 

Qualifications

  • Experience in administration, communications, marketing, or related fields.

  • Strong organizational and time-management skills.

  • Excellent written and verbal communication skills.

  • Experience with website platforms such as Wix is an asset.

  • Proficiency with Microsoft Office, Google Workspace, Canva, and social media platforms.

  • Experience in a non-profit environment is an asset.

  • Ability to work independently while collaborating effectively with a team.

  • Demonstrates professionalism, confidentiality, and attention to detail.

Hours: 6 hours per week until mid-August, then 12–18 hours per week for one year
